Upgrade Subscription Plans - Policy & Procedures

We've had a few questions lately about Upgrade Subscription Plan (USP) renewals and how we handle the process.  Here's the full scoop, in case you were wondering.

An USP entitles the client to any new releases and updates to their product for the term of the USP.  They are a required purchase with any current UniDevCo product purchase.  When a client's USP comes due for renewal, we send an email notice with the details to the Business Partner that we have on record for that client.  We do not send a notice to the client.  In this notice we ask the Business Partner to contact the client to inform them of the pending expiry of their USP and to ask them if they wish to renew.  When we get a positive response from the Business Partner, we prepare the necessary invoice to the Business Partner who in turn invoices the client.

On an USP renewal, the first contact is made by email to the Business Partner.  If we receive no response prior to the expiry date, we will make a follow-up telephone call to the Business Partner to ensure that the notice was received (email for overseas Business Partners) and action taken.  If we receive no response after the second attempt, we will send a notice to the client.

We realize that this process is different from that of ACCPAC.  There are a few reasons for this.

  1. UniDevCo does not have the administrative resources necessary to handle USP renewals in the way that ACCPAC does.
  2. Many Business Partners prefer that we do not contact their clients directly.
  3. Many clients don't recognize the UniDevCo name, so receiving a renewal notice from us may go unheeded.  A notice from their Business Partner will be noticed and heeded.
  4. It gives you the opportunity to contact your client and potentially generate more business.

It is important that both you and your clients understand the benefits of the USP and repercussions of choosing not to renew.  If a client chooses not to renew, in order to upgrade to a later release in the future they will be required to purchase an upgrade plus an USP.  That will make their cost almost three times more expensive.  If they are more than one release behind, the upgrade cost will be 2 x a normal upgrade plus the USP.  That will make their cost almost five times more expensive.  UniDevCo products are upgraded as necessary to maintain compatibility with ACCPAC.  A UniDevCo version 5.2 is compatible with an ACCPAC version 5.2.   As you can see, if your clients plan to stay current with ACCPAC, it is in their best interest to stay current with their UniDevCo USP.

If it makes it easier for you, we can coordinate the UniDevCo USP renewals with the clients' ACCPAC Support Plus renewals.

Please don't hesitate to contact us if you require further clarification.
