Auditing Sales Analysis Data
UniDevCo’s Sales Analysis builds the UXDETAIL file (or table) to store sales
transactions information. Using data from AR, OE and IC as selected in the Sales
Analysis Setup Options, Sales Analysis retrieves the transactions and builds the
file. Data is added by performing the retrieve function after each day end
processing is completed. Information can be retrieved from this file using a
query or report program. The UniDevCo Inquiry and Report Engine is included with
the product and can be used to quickly retrieve information.
To compare the data transactions in Sales Analysis to the sales reports from
ACCPAC, use the Inquiry and Report Engine to create a simple query.
Compare to OE Sales History report
1. Run the OE Sales History report. To reduce the scope of the comparison,
chose Summary type and for one fiscal year and period. Sort the report by either
Customer Number or Item Number and chose Functional Currency.
2. Create a query in Sales Analysis. Use the main Inquiry and Report
Engine that takes the data from the UXDETAIL file. Select the following fields
in this order:
• Fiscal Year
• Fiscal Period
• Customer Code
• Item Number
• Amount Sold Home
Save the query and enter parameters for Fiscal Year and Fiscal Period that match
the OE Sales History report.
Apply the query and select the item number from the Summarized by drop down
options.
This should give you one line per item per customer for that period. The amount
sold home should match the Sales Amount less the Sales Returns on the OE Sales
History report.
By narrowing down the comparison, it is possible to identify periods where there
are differences in the sales reports.
1. Once identified, run the OE Sales History report and chose Detail type,
for that period.
2. Add fields to the Sales Analysis query between Customer Code and Item
Number:
• Source Code
• Transaction Type
• Document Number
This will add additional detail to the report and the query to assist with
matching transactions to determine if transactions are missing.
The same method can be used to compare the IC Sales Statistics report to Sales
Analysis data. Add the Category and Location fields in Sales Analysis when
comparing to IC reports.
Comparing Sales Analysis data reports to GL account balances should be attempted
only if all sales and returns for all categories use one GL account code.
