Moving UniDevCo Data Between Databases

Introduction

Moving ACCPAC data between databases is done by using ACCPAC’s DBDump and DBLoad procedures. However this will not move UniDevCo data files.

Two UniDevCo programs build data files from ACCPAC data and store the records in separate databases or folders. Sales Analysis builds historical invoice and credit note files and the sales analysis detail (UXDETAIL) file. Stock Card builds the stock card detail (UCSUM) file. See the documentation on each product for further details in the software technical notes. Ops Inquiry and Sales Analysis also store custom queries created by using the Report and Inquiry Engine.

Retaining intact UniDevCo data files, when moving ACCPAC data between databases, depends on several factors.

• If ACCPAC (sales history or item history) data remains intact and has not been purged
• If the sales analysis file contains data converted from Sales Analysis DOS programs
• If the sales analysis data has been edited

The following procedures vary slightly depending on the factors above.

Preparation

1. If a version upgrade is planned at the same time as the database change, do the version upgrade first prior to changing databases.
2. Prepare the ACCPAC data for database conversion by posting all batches, running data integrity, day end procedures and any other necessary steps.
3. Prepare UniDevCo Sales Analysis data by retrieving all data.
4. Backup the database and confirm that the backup will restore correctly. Backup up the UNI database separately as well.
5. Install all required ACCPAC programs and current service packs for the new installation.
6. Install all required UniDevCo products and confirm that the latest service packs are included. REMEMBER: UniDevCo products are database specific.
7. Request activation codes for UniDevCo products for new database installation.


Preparation of UniDevCo Products

1. When moving from one database to another, it is not possible to move the stored Report and Inquiry queries. This will affect both Sales Analysis and Ops Inquiry programs. These queries will need to be recreated in the new database. Use a print screen of the query to record the fields, order of the fields and any parameters.
2. Check the settings in the Setup Options of the programs. These will need to be recreated in the new database.
3. Export the Sales Analysis UXDETAIL file, using the export function in the product. Be sure to select the Record Sequence Number as the first field, then all other fields. See the product documentation for further explanation of this process.


Sales Analysis Data

1. Once the above has been completed, use the Reset function in Sales Analysis data integrity check to reset the flags in the ACCPAC database. This prepares the ACCPAC data to allow it to be re-retrieved in the new database.

• If the ACCPAC sales data is intact (has never been purged), Sales Analysis will retrieve all the historical data when the retrieve function is run in the new database.
• If ACCPAC sales data has been purged, historical invoice or credit note data will be lost. The Sales Analysis data will be retained in the exported UXDETAIL file and will be available in the new database when the exported data is imported into the new database.
• If the Sales Analysis (UXDETAIL) file contains converted DOS data and/or edited data, it will be retained in the exported file and imported into the new database.

2. DO NOT perform a retrieve at this time.

Stock Card Data

If the Inventory Control History transaction file has not been purged, the rebuild function of Stock Card will recreate the UCSUM file in the new database. If the ICHIST file has been purged, data will be lost and Stock Card will only rebuild the UCSUM file with the remaining transactions.

Moving the Data

When ready to move the data files, before the DBDump is performed, use the UniDevCo Administrative icons to clean the registry settings for the UniDevCo products and deactivate all UniDevCo products in this database. This will allow the products to be reactivated in the new database and will correctly create all required files in the new database.

1. Perform the DBDump and DBLoad to move the ACCPAC data.
2. Open the new ACCPAC database and confirm that the modules are functioning as expected.
3. Backup the database.
4. Reactivate the UniDevCo products, using ACCPAC’s data activation.
5. Open each UniDevCo product and enter the required activation codes.
6. Go to each Setup program and reset the options to match the old settings.
7. Backup the database.

Sales Analysis Data

1. Run the Retrieve function to bring in the available ACCPAC data.
2. Run the Import function to import the saved data in the exported UXDETAIL file. Use the following settings.

• Be sure to chose the Record Sequence Number as the first field and select all other fields to match the exported file.
• Chose File Option – Replace current file
• Chose Import Option – Import any that verify
• Log to File
• Do not verify any options in the Verify box.

3. Run the data integrity in Sales Analysis
4. Enter any custom queries in the Report and Inquiry Engine.

Stock Card Data

1. Run the Rebuild function in Stock Card to rebuild the UCSUM file.
2. Follow the Recommended Procedures technical document from the UniDevCo website.

Ops Inquiry and AR Inquiry Programs

1. Recreate the Setup Options for each program.
2. Reenter the custom queries for the Ops Inquiry Report and Inquiry Engine.

Conclusion

1. Check the ACCPAC security settings for all UniDevCo products
2. Backup the data.
